Configure email notifications for bookings, reminders, and cancellations. Email delivery setup and business-scoped sender identity.

Email Setup

VoxelBooking sends emails through the transport selected in System Settings > Email:

  • SMTP - standard mail server delivery using host, port, username, password, and encryption
  • Resend - HTTPS API delivery over port 443, useful when a host blocks outbound SMTP ports
  • Mailpit - local capture during development
  • Log - records email attempts without external delivery

All delivery transports use the configured From address and From name. When using Resend, the domain of the From address must be verified in your Resend dashboard.

Business-Scoped Sender Identity

Confirmation and reminder emails are sent from the business name, not from VoxelBooking. When a customer receives a confirmation email, they see "From: Salon Bella" - not "From: VoxelBooking."

The Reply-To header is set to the business's contact email, so customer replies go directly to the business.

Notification Types

Booking Confirmation

Sent immediately after a booking is confirmed. Includes:

  • Service/event details
  • Date and time
  • Business address (if configured)
  • Add-to-calendar links (Apple, Google, Outlook)
  • View/manage booking link for rescheduling, cancellation, and privacy access

Booking Reminder

Sent before the appointment (configurable timing). Reduces no-shows.

Cancellation Notification

Sent when a booking is cancelled by the customer or by admin.

Staff Notification

Notifies the assigned staff member when a new booking is created for their schedule.

Email Log

All sent emails are logged in the system. The operator can view delivery status, recipient, and email type from the admin panel.
